Administrative Coordinator

Greater Farallones Association (GFA), a 501(c)(3) nonprofit organization, seeks an Administrative Assistant responsible for the day-to-day operations of various functions in the organization including financial, HR-related, development, and Justice, Equity, Diversity, and Inclusion efforts. Supervised by the Deputy Director, this position is ideal for an experienced individual in administrative/financial non-profit work or an early-career individual who is interested in a career in nonprofit work and in GFA’s work to ensure a resilient California coast and ocean.

As the primary nonprofit partner to the National Oceanic and Atmospheric Administration’s Greater Farallones and Cordell Bank National Marine Sanctuaries, GFA conducts joint research, conservation, and education to support healthy ecosystems in the Sanctuaries. With approximately 30 staff members, GFA is supported by a diverse mix of government grants, program service contracts, private philanthropy, and donated services. GFA has an annual operating budget of approximately $5 million and is co-located in the National Marine Sanctuary office in a beautiful historic building on Crissy Field in the Presidio.

Job Duties

  • Assist HR with payroll and benefits administration
  • Monitor the organization’s expenses and ensure financial coding is correct
  • Prepare and submit contract invoices and track payments (training provided if needed)
  • Assist the finance team with the month-end close
  • Pick up, open, scan, and distribute mail; deposit checks
  • Enter donor and payment information into the organization’s CRM (Salesforce)
  • Ensure organizational documents are organized on cloud-based file storage
  • Assist the Justice, Equity, Diversity, and Inclusion (JEDI) Team with logistics and planning
  • Assist the Executive Director with administrative tasks, including organizing and documenting board and committee meetings
  • Organize staff meetings and events, volunteer days, and the annual GFA staff retreat
  • Take notes at meetings
  • Other duties as assigned

Preferred Qualifications

  • Interest in a career in nonprofit administration
  • Highly organized, systems-oriented, and able to manage project deadlines
  • Some familiarity with financial record-keeping
  • Experience in Salesforce, QuickBooks, and/or Google Workspace is a plus.
  • Ability to work both independently and as a team member
  • Excellent communication skills
  • Ability to work at a computer for up to eight hours per day, with breaks
  • Commitment to GFA’s mission and to a just, inclusive, and equitable workplace.
  • Full vaccination against COVID-19 (exemptions apply)
  • Successful federal background check

Employee Status and Benefits
This hybrid remote/on-site position is 32-40 hours per week, with a minimum of two days per week onsite. The starting FTE salary is $60,000 – $65,000, depending on experience. This position offers additional training in human resources and financial management and opportunities for advancement.
